TOPIC: TOPS Status Codes Changes and Clarifications, Master Roster and Graduation Code on Grade File Description

To assure that your Scholarship and Grant Policy and Procedure Manual remains current, please record this document on your TOPS Bulletin index and retain it with your manual.

Review of the current status codes on the TOPS Master File, has resulted in changes in the description of current codes as well as the elimination of unused or codes with duplicated purposes.

As of 12/14/99 changes to Status Codes on the Master Roster are as follows:

01 Approved Renewals 50 2yrs. award not accepted- Ineligible
03 Ineligible Other 53 Death
06 Internal Audit- Ineligible 54 Maximum years reached
10 Renewal Canceled 60 Non Continuous Enrollment- Ineligible
40 Graduated 61 Officially Resigned- Ineligible
42 Rejected for GPA-Suspension 90 2yrs. no FAFSA - Ineligible
44 Rejected for Hours- Ineligible 91 Renewal Pending
46 1yr. award not accepted- Ineligible 92 No FAFSA- Suspension
49 Greater than 24 months suspension- Ineligible Suspension (prior La HONORS & TAP ) 97 No renewal FAFSA-Otherwise Eligible-

Some of those codes listed as ineligible are appealable; however, unless the student has an approved appeal or exception request or a correction to GPA or Hours is made by the school at a later time, they will remain ineligible.

Codes Omitted from the Master Roster are as follows:

11 Conflicting Award 45 Not Used
20 New Canceled 47 Below Full Time
30 Miscellaneous 48 Major
31 Academic Probation 52 Declined
41 Professional Student 93 Non Approved School

GRADE FILE DESCRIPTION: The following will be added to codes indicating student has graduated: Technical College Program Completed will be identified with the number 4 in the graduated field.
