Large Disbursement Files May Delay EFT Information Processing |
To assure that your Common Manual remains current, please record this document on your LPM/LPB Index, and retain it in Appendix E of your manual.
LOSFA wants to alert you to potential problems caused by large disbursement files for USA Group EFT disbursement customers. When students return to school for fall terms, disbursement information for large groups of students is often delivered on a single date. The resulting disbursement files are frequently too large to process easily. Some problems with such files include:
- long receive time via modem across phone lines
- report printing is also long, and can tie up office equipment for extended periods
- increased time required for WhizKid import of disbursement information
Based on historical transmission information, you might receive such a file. To alleviate problems associated with the receipt of large files, you might consider increasing the number of disbursement dates, or staggering the dates. By receiving disbursement files more frequently, they will be smaller and less likely to cause processing delays. Your disbursement schedule can be adjusted with one weeks notice.
If you experience problems processing large disbursement files, consider the following options:
- Close all other applications when processing disbursement files.
- Wait until late in the day to begin importing or printing the disbursement files.
